Work Order Permissions
Permissions work differently on a work order layer compared to other layers. When you grant a user edit permission to a regular layer that gives them the ability to add features, modify any feature, and delete any feature. But with work orders, a user can have a different level of permission on different work orders depending on their assigned role with each work order feature. This allows more people to participate in the job of managing work orders while still maintaining some level of control.
Notes:
- Layer Editor Permission: At a minimum, you must have editing permission for the work order layer to add, delete, or change anything about a work order. Further permission restrictions may apply based on each user's role in the work order.
- Owner: The person who creates the work order is the "owner". However, the user creating the work order can create the work order on behalf of someone else and therefore mark someone else as the owner. The concept of "Owner" is the person who is ultimately responsible for the task getting completed and therefore the person who the workers (ie. assignees) would otherwise report back to when it is done.
- Assignee: The concept of "Assignee" is the person(s) who will do the job. If the assignee field is left blank that is equivalent to all users on your account being the assignee.
- Completing a work order: To change the status of a work order or to enter information about the work performed you must either be the owner or an assignee. An account manager also has the ability to modify any work order.
- Approval: To mark a work order as approved you must be either the owner of the work order or an account manager. If your work flow requires that more people have permission to approve work orders then you can add the WO.ANYONECANAPPROVE tag to the layer thus allowing anyone with edit permission on the layer to approve any work order. To set this go to the settings tab for the work order layer and then choose "more settings" and enter this tag in the layer tags box.
